Policies in any format (Policy Writing and Creation) can be reviewed, approved, published and archived in the C1Risk Platform.
Roles
Reviewers can be Administrators or General Users
How to Schedule Policy Review
- In the policy record, find the Approval Section.
- Choose the review Frequency desired to trigger automated reviews based on the publishing date.
- Use the Approval Required Section to select Approval/Review and set the Approval Rule using the drop-down menu, choosing from the following options:
- At Least One Must Approve (requires only 1 user)
- All Must Approve (multiple users at the same time or in any order)
- All Must Approve In Order (Ordered Approval (see below)
- All Must Approve in Order: This will trigger approvals based on the order you add the Reviewers to the Reviewer Section. Each reviewer must approve the document in order for the next review to be notified. Where a document is rejected, the NEXT reviewer will not be notified until the CURRENT reviewer has approved the document.
- Reviewers and Collaborators must be licenses users in the platform. Users can be added in the Administration Section, or submit a ticket with your request: https://c1risk.freshdesk.com/support/solutions
Annual Policy Review
When Annual Policy Review is scheduled using the Frequency section, the platform will automatically trigger notifications based upon the Next Review Date. The Next Review Date is triggered when the policy is published.
How to select or modify the Next Review Date
Once the policy is published, the Next Review Date can be modified to schedule the notification with appropriate time to review and publish any new version of the policy.
- In the policy record, go to the ellipses drop-down menu and select “Change Next Review Date”
- Select the desired date. Notifications for policy review will be sent to Reviewers automatically based on the chosen Next Review Date.
How to Revise Policies in the C1 Risk Platform
Published policies may be opened and revised at any time, for example, if a policy exception is submitted that requires an immediate policy revision. When the policy is revised, the previous version is Archived automatically, and the new version can be published.
- In your published policy record, go to the ellipses drop-down menu and select Revise Policy
- Once you have completed your edits, click Save. Now, you can note any edits in the Notes or Comments Section.
- The Comments section enables you to share your edits with collaborators.
- The Notes Section can be seen only when in the Policy Record
- If the policy does not need further review or approval, you can publish the new version using the ellipses drop-down menu and select Publish.
- The new version will be published (Active) and the previous version will automatically archive.
How to Publish Policies in the C1Risk Platform
Policies can be published from DRAFT or Revision Status by authors, where there is NO APPROVAL REQUIRED from the List view or the policy record.
- Policies where Approval is required will auto-publish upon termination of the review process.
- Where policies are being revised, the previous version will be archived automatically upon publishing of the new version.
