1. Overview of List Views
Each list you access within the platform automatically displays a default view. However, you have the ability to create customized views tailored to your specific needs.
2. Customizing a List View
There are two primary ways to customize the content displayed in any list: selecting the filter and selecting the column.
Step 1: Filter the Data
To focus your list, begin by applying necessary filters:
- Select the filter option.
- Choose the criteria you want the list to display.
- Example: You might decide you only want to see the findings that come from the risk register.
- Once the filtering is applied, your list will be updated.
Step 2: Customize Displayed Columns
After filtering, you can adjust which columns appear in your new list view:
- Select the column option.
- Review the current columns and determine which ones are relevant.
- You may decide you do not need to see all the default columns.
- Example: You might want to remove a column like source.
- Add any new columns that provide necessary data.
- Example: You might choose to add a column related to risk, such as total risk register.
- Once you have finalized the columns and filters, click Apply. This action creates a totally new list view.
3. Saving and Sharing a Custom View
If you are satisfied with the new custom list view, you can save it for future use.
- Click Save List View.
- Give the view a title (e.g., "risk register").
- Determine sharing permissions:
- Check the box next to the sharing option if you want to make this custom view available for everyone with user access.
- Uncheck the box if you want the view to be available only for you.
- After setting the title and sharing options, save the view.
4. Managing and Setting the Default View
Once you have saved a custom view, you can access and manage it easily.
- Click the list menu.
- You will see a list of available views, including the default view (which is automatic by the system) and your newly created custom view (e.g., "risk register view").
- To set which view appears automatically when you log in, simply drag the order of the views in the list.
