1. Overview
The Manage Group function helps administrators organize users into logical groups.
By managing users as groups instead of individuals, you can simplify access control, record assignments, and permission management.

Create, view, and edit user groups
Add or remove users from groups
View all records assigned to a group
Manage group memberships directly from a user’s profile
2. Accessing Manage Groups
How to Navigate
Go to the Administration menu on the left sidebar.
Click Manage Groups (located just below Manage Users).
The Manage Group List View will open, displaying all existing groups.
3. Manage Group List View
The List View shows all user groups in a table format for easy reference and management.
Fields Displayed
| Field | Description |
|---|---|
| ID (ENI) | Unique, auto-generated group ID (e.g., ENI-0001). |
| Group Name | The name of the group as seen by users. |
| Description | Optional text describing the purpose of the group. |
| Record Owner | The user who created or currently owns the group. |
| Created / Modified Dates | Automatically recorded timestamps for tracking changes. |
Available Actions
Add New Group – Create a new user group.
Bulk Change Record Owner – Reassign ownership of multiple groups at once.
4. Adding a New Group
In the List View, click Add New.
Fill in the required details:
Group Name – Enter a descriptive name for the group (required).
Description – Provide details about the group’s role (optional).
Image – Upload a group image (optional). If not added, a default icon will appear.
Click Save to create the group.
✅ Result: The new group will appear in the Manage Group List View.
5. Group Detail Page
When you click a group name, the Group Detail Page opens.
This page provides detailed information and allows you to manage group members and settings.
5.1 Details Section
Displays key information about the group:
Group Name
Description
5.2 Activities Section
Shows audit trail information for the group, including:
Record Owner
Created Date and Modified Date
5.3 Group Members Section
Displays all users assigned to the group.
Columns
ID (linked to the user’s profile)
Full Name
Title
Email
Status
Available Actions
➕ Add Member
Opens a pop-up with a list of all active users.
Use filters or search to find users.
Select one or more users, then click Save.
? Unlink Member
Select one or more users and confirm to remove them from the group.
5.4 Group-Level Actions
✏️ Edit Group – Update the group name or description.
? Change Record Owner – Assign a new owner to the group.
?️ Delete Group – Permanently delete the group.
Require to transfer all its assigned records to another group before deletion.
6. Records Subtab
The Records subtab lists all records assigned to the selected group.
Features
Entities are displayed in collapsible accordions with total record counts.
Expanding an accordion shows related records (10 per page).
Multiple accordions can be open at the same time.
Each record can be clicked for a detailed view.
7. User Detail Page Integration
The Manage Users detail page now includes a Group section that shows which groups a user belongs to.
You can also assign users to groups directly from this page.
To Add a User to Groups
Open a user’s detail page.
Scroll to the Group section.
Click the dropdown arrow to view available groups.
Select one or multiple groups.
Click Save.
8. Group Usage in Record Assignments
Groups can be assigned to multi-select contact fields, such as Additional Contact.
Groups act as a single unit when assigned to records.
Users in that group automatically inherit permissions associated with the group.
